Team Assets
Team Files allow teams to share content across multiple workspaces without uploading the same assets over and over again.
Understanding Team Assets
A Team Asset describes content that is stored once at team level and made available to workspaces that belong to this team (Team Assets = Team Library → Workspaces).
While Team Assets are visible and usable inside workspaces, they do not belong to a single workspace. They live independently in the team configuration and are referenced by workspaces that use them. This means their existence is not tied to the save history of a single workspace.
- Team Assets are managed in the team view and can be reused in multiple workspaces at the same time.
- Team Assets appear in Manage and inside workspace content providers such as Booklets when distribution for that asset type is enabled.
- Workspaces can use Team Assets alongside their own local assets.
- Template workspaces are self-contained and do not rely on Team Assets as required content.
- Removing a Team Assets from the team library removes it from all workspaces that previously used it.
- Team Assets can be added, updated or removed at any time through the team configuration.
Supported Assets
Team Assets support several asset types that can be distributed across workspaces.
- Images
- Videos
- Slides
- Blox
- 3D Symbols
- 3D Models
- 3D Scenes
All of these assets become part of your team’s shared library and can be used wherever they are enabled.
Distribution Options
The way Team Assets are made available is defined in the team configuration under “Asset Distribution”.
- You can configure per asset type whether Team Assets are automatically available in all workspaces or must be enabled per workspace.
- When automatic distribution is active, assets of that type appear directly in the workspace’s Team tabs and providers.
- When manual distribution is selected, workspace admins need to enable Team Assets per asset type in workspace management.
In the workspace management view, team-distributed assets can be found under the Team tabs of the respective asset categories.
- Enabling an asset type makes the team’s files of that type available inside the RAUM workspace.
- Disabling an asset type hides these Team Files from the workspace while keeping them in the team library.
How to Upload Team Files
- Open the team view and navigate to the Team Assets section in the team navigation.
- Select the desired asset type such as images, videos, slides, Blox, 3D symbols, 3D models or scenes.
- Upload your files just as you would when adding assets in a workspace.
- Adjust your Asset Distribution settings to define where and how these Team Files become available.
Once uploaded, Team Files follow the distribution rules you have set up and can be used in any workspace that belongs to the team.
Attention – Changes made to Team Files affect every workspace that uses them. If you update, replace or remove a Team File, the change applies instantly to all connected workspaces. Use Team Files with care, especially when they are part of active sessions or workspace-critical setups.
